Receptionist (contract position)

Position: Receptionist (Contract Position – No Benefits)
Reports To: Executive Director


Position Summary:
As a key member of the Couchiching Family Health Team (CFHT), and an integral part of an interdisciplinary health care team, the Receptionist will provide administrative duties to achieve the vision, mission and goals of the Couchiching Family Health Team.


Roles and Responsibilities:

• Assist the FHT administrative department with support and program development for designated programs, including chart maintenance, patient appointments, and reception duties
• Make phone calls and reminder calls as required to book and initiate appointments
• Communicate regularly with regional partners
• Work with the team on the internal referral process
• Open and distribute mail on a daily basis
• Order office supplies
• Compose material using correct grammar and spelling
• Exercise tact and discretion in dealing with patient issues
• Arrange all logistics of meetings, groups etc.
• Help maintain the flow of the office during busy peak times (i.e.: lunch) (backup for vacation and sick time with other admin staff in the FHT)
• Coordinate, generate and oversee the gathering of monthly information for reports to MOHLTC
• Scanning and transcription
• Adhere to the policies and procedures of the organization by maintaining current knowledge of policy manuals and keeping up to date with all FHT initiatives
• Continually upgrade skills and knowledge to meet the demands of the position, including understanding the intranet
• Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act by exercising high level of care in protecting confidential and sensitive information of clients, their families, personnel and the FHT organization
• Attend any meetings as requested and take minutes if required
• Use the most effective and efficient method to deliver services while continuing to improve the quality of same
• Autoclaving (if applicable to department)
• Cover parking phone if required
• Uphold a positive attitude
• Work in compliance with Health and Safety laws adhering to safe work practices and procedures established by the CFHT
• Other duties as assigned


Skills/Knowledge Requirements:

• Computer competency: Windows, all Microsoft Office programs, e-mail and internet research
• Proficiency in verbal and written communications
• Demonstrate strong organizational skills with the ability to prioritize and maintain a variety of activities
 Maintain and upgrade knowledge
• High degree of accuracy and attention to detail for EMR system, and internal communications
• Exercise good judgment and show a willingness to take on new challenges
• Works well in a team environment and works collaboratively with all team members
• Knowledge of the Family Health Team model

 Education/Specific Job Requirements:

• Education in medical administration an asset
• Ability to work evenings, if required
• Police Record/Vulnerable Sector Check
• Certificate in medical terminology an asset

Experience:

• One year administrative experience in a health care setting an asset
• Electronic medical record experience an asset
